Sending Policy

Applies to all email sent through Mailbox Fleet infrastructure.

Why this policy exists

Mailbox Fleet provides sending infrastructure for business-to-business outreach. Infrastructure only stays deliverable if everyone sending through it behaves — one abusive customer poisons IPs, burns domains and hurts every fleet we run. So the rules below are not legal boilerplate; they are how the product keeps working. We enforce them at the server where we can, and by suspension where we can't.

What you can send

Fleets are for targeted, relevant, business-to-business outreach: contacting people at companies about something plausibly useful to them in their professional capacity.

  • B2B prospecting to work addresses, with messaging relevant to the recipient's role
  • Follow-ups and replies within an existing conversation
  • Outreach that identifies who you are and why you're writing

What you can't send

The following gets a fleet suspended, without refund where the breach is deliberate:

  • Email to consumer/personal addresses or scraped personal data
  • Content that is illegal, deceptive, or misrepresents who the sender is
  • Phishing, malware, or links to either
  • Sending to purchased lists of unverified addresses, or to addresses collected without any plausible business relevance
  • Continuing to email a recipient who has opted out or asked you to stop
  • Anything that violates the laws of the recipient's jurisdiction (UK GDPR and PECR, CAN-SPAM, CASL, and equivalents)

Compliance is yours; enforcement is ours

You are the sender: you choose the recipients and the copy, so legal compliance with the applicable outreach laws sits with you. Our role is to make the responsible path the default — and the irresponsible one impossible where we can manage it.

  • Per-mailbox sending caps are enforced at the server, not on trust
  • Warmup is mandatory; fleets cannot skip the ramp
  • Every domain and IP is monitored across 90+ blacklists
  • Domains showing spam-trap hits or complaint spikes are paused automatically
  • Repeat or deliberate abuse ends the account

Opt-outs and complaints

Every campaign sent through Mailbox Fleet infrastructure must give recipients a working way to decline further email, and opt-outs must be honoured promptly. If we receive an abuse report about your fleet, we will investigate, pause affected domains if warranted, and pass the report to you. Recipients or third parties can report abuse involving Mailbox Fleet infrastructure via the contact routes in the footer.

Changes to this policy

We may update this policy as sending laws and provider requirements evolve. Material changes are announced to active customers before they take effect. Continued sending after a change takes effect is acceptance of the updated policy.
